A vendor receives a SharePoint folder for a remodel. An accountant is invited to a document library. A project partner joins a Microsoft 365 workspace. The collaboration may be appropriate at the time—but the access can outlast the project unless someone owns the offboarding step.
A Microsoft 365 guest-access review helps a business keep external collaboration useful while removing access that no longer has a business purpose. The goal is not to turn off sharing blindly. It is to know what is shared, who is responsible for it, and when access should be reviewed or ended.
Treat external sharing as a business process
Microsoft’s SharePoint and OneDrive external-sharing overview, updated May 7, 2026, explains that external sharing is enabled by default and controlled at both the organization and site levels. The most restrictive setting applies.
That means a business decision at the tenant level can affect every site, while a sensitive site can be configured more restrictively. Before changing settings, identify the work that depends on external sharing and the information that should never be shared outside the organization.
Know what is shared and who owns it
Create a working list of SharePoint sites, Teams-connected sites, and important OneDrive locations that contain business information. For each one, record the internal owner, its purpose, the expected external participants, and the type of information stored there.
Keep highly sensitive material in locations where external sharing is disabled when that fits the business need. Avoid relying on folder names alone; clear ownership and a documented purpose make later reviews far easier.
Choose the right link for the task
Microsoft distinguishes between several sharing options. “Anyone” links can work without authentication and can be configured to expire or allow view-only access. “Specific people” links are limited to named recipients and require identity verification. Organization and site settings determine which options are available.
Use the least permissive option that still supports the work. A public link may be convenient for broadly distributable material, but it is usually a poor fit for client files, internal procedures, or project records. For named partners, a link tied to specific people gives the business a clearer record of who should have access.
Give every guest a sponsor and an end date
For each external user, record the internal sponsor, project or vendor relationship, approved resources, and expected review or end date. When the sponsor changes roles or leaves the company, reassign responsibility instead of letting the guest relationship become ownerless.
A practical review cadence can be based on the risk and pace of the work. Short projects may need a review at closeout. Long-running vendor relationships may need periodic confirmation by the site or project owner.
Review, validate, and remove
Microsoft Entra access reviews can support periodic reviews of guest access, but Microsoft notes that Access Reviews requires Microsoft Entra ID P2, Microsoft Entra ID Governance, or an eligible suite such as Enterprise Mobility + Security E5. Businesses without the required licensing can still establish a manual review and offboarding process.
Ask the resource owner whether the guest still needs access and whether the current scope remains appropriate. Validate the project status before removal, then remove access to the resource or the guest account as the situation requires. Keep a short record of the decision.
Microsoft 365 guest-access checklist
- Identify SharePoint, Teams, and OneDrive locations that permit external sharing.
- Assign an internal owner to each shared location.
- Record each guest’s sponsor, business purpose, approved scope, and review date.
- Use the least permissive link type that supports the work.
- Set expiration or view-only controls when appropriate and available.
- Keep sensitive information in locations where external sharing is disabled.
- Review guests when projects end, contracts change, or sponsors leave.
- Document removals, exceptions, and the next review date.
